If your agency uses JoinedUp to calculate your paid holiday entitlement, here's how this works...

Most workers are entitled to paid holiday unless they are self-employed. If you're unsure about your own entitlement, please refer to your employment contract or ask your agency in the first instance.

Understanding your paid holiday entitlement

Paid holiday builds up (or 'accrues') in JoinedUp as you work shifts. For each shift a certain amount of paid holiday entitlement is stored against your profile. At the end of each week, JoinedUp calculates the amount of paid holiday you have accrued and adds this to the total for the holiday year.

You can see how much paid holiday you have accrued in the Holiday page when you're logged into JoinedUp. (If you can't see the Holiday page, this means your agency does not use JoinedUp for this function).

Most jobs will have a rate at which paid holiday accrues over the course of a year. The maximum can differ depending on role and which agency and clients you work for. Unless you are self-employed, the minimum level of paid holiday (by law) is 5.6 weeks per year. You also accrue paid holiday when you're on official sick leave, maternity or paternity leave.

The holiday year

Companies usually have a defined holiday year, either the calendar year of January - December or other calendar dates, linked to financial milestones. Your paid holiday time will accrue for this period. You can see your agency's holiday year on the Holiday page.

When the year is coming to an end, JoinedUp calculates your untaken paid holiday and sends this to your agency's payroll systems so that you are paid for it.

Claiming paid holiday time

When you enter holiday time in to your work calendar, JoinedUp lets you know how much time will be taken from your paid holiday entitlement you've accrued so far. It's not possible to put in holiday time for the past - so plan ahead!

You can see your future holidays on the holiday page once you're logged in to JoinedUp. These are marked as 'Pending' as they have not happened yet.

Your agency can also book in holiday time on your behalf if necessary.

Most companies will have a minimum time that can be taken as paid holiday, usually either one whole day or half a day. You can still set yourself unavailable using JoinedUp for other reasons, however this time will not be paid.

If you've logged holiday time in your work calendar, your agency will not be able to book you onto a shift for that time.

Getting paid for paid holiday

When you take paid holiday, the amount of time is taken from your total entitlement accrued for that year. JoinedUp sends the information about the time you've taken as paid holiday to your agency's payroll system so that you get paid for this time in the next payroll run. You should see this appear on your payslip. Check with your agency if you have any questions.

Changing holiday time

You can amend the dates for any 'pending' holidays as they are yet to happen. If your holiday has passed, you cannot edit it. (This is so that you can't claim it twice!) If you have any queries about your paid holiday balance, please ask your agency. They will be able to make amends on your behalf if necessary.
