Frequently asked questions about using facial recognition and QR codes to record attendance on JoinedUp

Troubleshooting

Q: What happens if the tablet does not recognise the worker?
A: If the worker is not recognised, this is usually for one of two reasons:
1. They have not been planned into a shift on the branch/onsite planning screens. An email will be sent to the inbox to alert all users currently following the site of the attempt to start a shift and a notification will appear on the screen to say that no shift has been planned for the worker on the day.
2. They have been planned, but the photo taken by the tablet does not match with the
worker profile. A notification will appear on the screen to say that the worker is not recognised for a shift on the day, and a notification will be sent to the site inbox. (This could be due to the photo specifications not being met and can be resolved by asking the worker to upload a new photo in line with the specifications).

Q: A notification has appeared saying no shift has been planned for the worker on the day but they should have a shift. Why has this happened?

A: Please check the following on your plan:

-Has the worker been allocated to a shift?

-Has the shift been published?

-Has the shift been submitted or approved? (If so, the worker cannot sign in using Facial recognition or QR)

-Is the time of the attempted sign in within 1 hour of the shift's booked start time? For example, a worker will only be able to sign in to an 8am shift from 7am-9am.

If there is a published shift that has not been submitted or approved within 1 hour of the booked start time and a shift is still not being recognised for the worker, please contact support@joinedup.com.

Q: What happens if the system logs in the wrong worker?
A: The profile picture will appear on the screen that matches the face in the Facial
recognition photo in the worker’s profile. If the image is incorrect, the worker can step away, and will have the option to try starting their shift again.

Q: What happens if the worker tries to start his shift too early?
A: A shift cannot be started more than an hour in advance and a notification will appear on the screen to advise of this.

Q: What happens if the tablet is broken?
A: The responsibility of the tablet lies with your organisation (or the client) and not with JoinedUp. It is advisable to have multiple tablets onsite as a precautionary measure so that there is always a backup to call on in emergencies.

Q: What happens if there is no internet connection?
A: An error message will appear, and you will be asked to connect to a network before attempting to continue. Where WiFi is intermittent, it may be worth also using a SIM card within the tablet or a WiFi dongle with a SIM card.


Signing in and out


Q: Can the worker’s start and stop time be rounded to the nearest 15 minutes using
the JoinedUp Onsite T&A module?
A: Yes. When submitting hours via the module, the times captured reflects all the settings on the shift template. If you need to round the hours to the nearest 15 minutes or set a guaranteed time for the length of the shift, this can be modified in the shift template’s settings.

*Please check with your JoinedUp account manager whether your organisation
has the feature switch turned on that enables the shift template setting to round worker start and stop times. Each template will then need to be set up to allow for this.


Q: What happens when a worker tries to sign out on their lunch or
break?
A: We currently have 2 options to select from when setting up the functionality for the site.
-Contactless: Start and stop the workers' shifts via motion detection.
-Contact: The worker must click a button on the tablet to start/stop their shift.
For the 'contactless' option, the worker will receive an error message when they attempt to sign out before the booked stop time.
For the 'contact' option, workers can use the T&A module to sign in and out from their break. Breaks are specified within the rate schedule section of the shift template. The appropriate break will be deducted for the worker as specified in the template for their employment type and tax status (PAYE / Ltd company / Umbrella etc).
*Please check with your JoinedUp account manager whether the following feature switches have been enabled):
-Enable early stop shift reason (T&A app only)
-Enable manual breaks in the T&A app

Q: Can a worker edit their start time once they have signed in, i.e., could a worker
amend their sign-in to be on time, even if they were late?
A: Only when this setting in the advanced settings of the template has been turned on: 'Allow worker to enter attendance'. With that setting turned on, a worker can log into their calendar and amend their hours which would then need to be submitted and approved.

Q: When a shift’s start time has been entered elsewhere in JoinedUp (consultant,
client, or worker) can the shift still be stopped by taking a picture?
A: Yes, a shift can be started or stopped using any method.

Changes to shifts

Q: What happens if a worker is booked to do overtime at the last minute and the
agency is not notified by either the worker or end client?
A: As standard, the worker can stop their shift up to an hour after their booked time.
Should the shift extend beyond that, the actual time can be entered by the agency.


Q: What happens if worker is sent home during their shift or signs in and
then leaves after 20 minutes due to illness?
A: The shift will need to be stopped by an agency user or if necessary, template settings could be amended to allow workers to manually stop the shift if the early stop feature is enabled. Please note, this is only applicable with the 'contact' option.

Partner agency workers


Q: Can Partner agency workers also be included in the T&A facial capture?
A: Yes, Partner agency workers will need to be set up in the same way as lead agency
workers.

Software and tablet

Q: Is the facial recognition approach utilised by the module 100% robust?
A: No, the facial recognition approach is not what we call ‘airport level security’. For right to work and other types of security check we recommend supplementing the module with other systems. The T&A module is primarily designed to save time. It is the quickest and easiest way to load shift times for workers without any manual intervention. However, the software is based on plug-ins which will improve in accuracy over time.


Q: What type of tablets can be used?
A: Any tablet running the last 2 Android versions (9 and 10) and iOS. The app is not
compatible with FireOS.
